How to run your work in TrussForge
Use this guide from first sign-in through customer intake, estimating, job execution, closeout, reporting, and administration. What you can see depends on your assigned role and the connections your administrator has approved.

Open the full operating guide, create a support ticket from any screen, and review current or previous requests with their latest status and public replies.

Search an approved connected supplier, add quoted materials to an estimate, and see server-calculated totals update in the material workspace.
Start from an existing customer
Open Jobs, choose New job, find an existing customer property, and begin the project without entering the customer again.
Controlled platform administration
One designated controller can activate, retire, or transfer platform access through a reauthenticated and audited workflow.
FOUNDATIONS
Getting started
- Sign in with your assigned account.If your credentials or invitation do not work, contact your company administrator. Never share your password.
- Open the Dashboard.Review work requiring attention, upcoming activity, pipeline status, and connected-data notices before acting.
- Use the left navigation.Only workspaces allowed by your role appear. On a phone or narrow window, use Menu to open or close the sidebar.
- Use workspace search.Press Ctrl + K or select the search field to find leads, customers, jobs, and other indexed records available to you.
- Check your account menu.Review activity, your profile, signed-in sessions, and password. Always sign out on a shared device.
OPERATING RHYTHM
A practical daily workflow
Review
Start with Dashboard, Activity center, and Scheduling. Confirm assignments, deadlines, status changes, and items that need review.
Intake
Create or find the lead or customer, confirm the property, and start a job against the correct existing record.
Estimate
Build scope and options, add material pricing from an approved source, verify margins, freeze the reviewed estimate, and prepare the proposal.
Execute
Assign crews, schedule work, record materials and expenses, and add photos, documents, milestones, and approved changes.
Close out
Reconcile costs and materials, verify required records, review reports, and preserve the final customer and project history.
CRM & JOB INTAKE
Leads, customers, properties, and jobs
Start with the right record
Use Leads for early opportunities and Customers for established relationships. Search before creating a record so the same person or property is not entered twice. Keep names, contact details, property addresses, notes, and status accurate.
Create a job for an existing customer
- Open Jobs and choose New job.
- Search by customer identity, property address, or ZIP code.
- Select the correct existing property, enter the job name and required details, then create the project.
- If the needed property does not exist, add it from the customer workflow first, then return to New job.
Open the customer or job record to review its related contacts, properties, work, estimates, files, and history. Follow your company’s naming and status conventions so search and reporting remain reliable.
PRICING & PROPOSALS
Estimates and vendor materials
- Open Estimates, choose Build estimate, and select the correct job.
- Create the estimate scope and the options your company uses. Enter labor, material, overhead, and selling values only from reviewed sources.
- Choose Save and find materials to open the material workspace.
- Select one available vendor before searching. Begin typing a product, description, or SKU; an approved connected catalog can return matching products, current and regular price, availability, and promotion details supplied by that vendor.
- Choose Add to estimate beside a product. TrussForge requests a fresh server-side quote, saves the sourced line, and recalculates option cost, customer price, gross profit, and margin.
- Review every quantity, unit, price source, timestamp, promotion, tax assumption, and margin. Replace or requote an older sourced line deliberately; saved estimates do not silently change when a vendor price changes.
- Freeze the reviewed estimate, prepare the proposal, and record acceptance only from the actual acceptance evidence.
DELIVERY
Run project work from start to finish
Use the job workspace as the source of truth for the work. Record tasks and milestones, measurements, project status, schedule, crew assignments, material plans and usage, expenses, customer documents, photos, proposed changes, and accepted records in the job they belong to.
- Measurements: record the source and values you actually reviewed. A reference or imported result still requires human verification.
- Weather: review current forecast and radar context when available. Weather imagery does not prove hail, damage, cause, or safe working conditions.
- Changes: create a proposed change against the correct accepted baseline. Do not treat a draft change as an amended contract until the authorized acceptance is recorded.
- History: use the record history and reasons to understand corrections. Do not overwrite facts to hide an earlier entry.
PEOPLE & TIME
Network partners, crew discovery, and scheduling
Network Partners contains the subcontractors and crews your company has chosen to track. Maintain contacts, service areas, rates, availability, documents, compliance reviews, and engagement history. Verify licensing, insurance, qualifications, identity, and availability outside TrussForge before assignment.
Crew Finder can show discovery candidates when the Google connection is enabled. A public listing is a lead for review, not a recommendation or proof of compliance. Add a real partner only after independent verification.
Scheduling organizes project dates and assignments. Resolve conflicts with the responsible manager, confirm changes with the people involved, and record the final plan in the project.
COST CONTROL & EVIDENCE
Materials, expenses, photos, and documents
Materials & Suppliers
Maintain the manually verified catalog and supplier records, plan required material by job, record actual use, investigate variance, and prepare internal orders. A prepared order is not proof that a supplier received or fulfilled it.
Expenses
Record the correct project, vendor, date, category, amount, tax treatment, reason, and receipt. Review imports and batches before posting. Credits should retain their relationship to the original cost.
Photo Documentation
Upload authorized job photos, use accurate captions and classifications, and preserve before/after pairing and revision history. Photos support the record but do not establish causation on their own.
Documents
Store authorized project files with the correct classification, source reference, tags, and revision metadata. Do not upload secrets, unrelated personal records, or files you are not permitted to retain.
VISIBILITY & FOLLOW-UP
Reports and communications
Reports summarizes only records your role is allowed to see. Confirm filters, time period, status definitions, and whether a figure is a live connected value, a saved snapshot, or an empty state before using it. Protect exported CSV files like the source data.
Communications supports approved templates and message drafts associated with business records. Review recipients, content, attachments, and consent before any communication leaves the organization. A saved draft is not a sent email or text; external delivery remains unavailable unless a qualified provider is explicitly enabled.
DEVELOPMENT
My Learning and Business Essentials
My Learning contains personal course reading, quick checks, workshops, bookmarks, and saved practice attempts. Progress shows study activity; it does not certify field competence or replace supervised training.
Business Essentials gives authorized leaders operating lessons, checklists, references, and team learning summaries. Verify current laws, manufacturer instructions, safety rules, contracts, and company policy before applying training content to real work.
CONFIGURATION
Company and account administration
- Company setup: maintain company identity, terminology, trade focus, visual theme, and operating choices. Review changes at desktop and mobile sizes.
- User accounts: create or invite only verified people, assign the least access needed, deactivate departed users promptly, and review sessions and sign-in history when appropriate.
- Recovery: an authorized administrator can perform the documented, reauthenticated recovery process after verifying the person’s identity. Temporary credentials should be delivered through an approved channel and changed promptly.
- Platform administration: only the one designated controller can activate, retire, or transfer the Platform Administrator role. The workflow requires reauthentication, confirmation, a reason, session revocation, and an audit record; ordinary administrators cannot elevate themselves.
- Connections: enable a vendor, discovery, weather, email, or other provider only after approval, credentials, contract testing, and production qualification. Disconnect unused access and never paste secrets into notes or support messages.
SAFE OPERATION
Security, privacy, and account recovery
- Use a unique password and keep it out of email, notes, tickets, and shared documents. TrussForge staff should never ask for your password or a retailer password.
- Review Signed-in sessions and end access you do not recognize. Sign out before leaving a shared device.
- Enter only business data you are authorized to use. Follow the applicable retention, privacy, customer-consent, and legal requirements.
- Use current records and preserve evidence. Prices, availability, public listings, maps, weather, and automated calculations still require appropriate human review.
- Report unexpected access, suspicious activity, or exposed information immediately to the workspace owner and development contact.
For a forgotten password, use the administrator-assisted recovery process shown on the sign-in page. If you are locked out or your access looks wrong, contact the administrator who manages your account.
SUPPORT
Troubleshooting and contact
- I cannot see a workspace or button.
- Your role may not have the required permission, the record may be outside your assignment, or a provider-dependent feature may still be disabled. Ask an Owner or Administrator to review access; do not create a second account.
- Search returns no customer, job, or material.
- Check spelling and filters. Customer and job search covers saved company records. Vendor product search works only after you select an enabled vendor and enter enough product text for that provider.
- A price, total, or availability looks wrong.
- Stop before presenting or ordering. Check quantity, unit, source, quote time, promotion, account/branch, tax and margin assumptions, then requote or correct the source record with a reason.
- The page reports an error.
- Keep the time, page, safe reproduction steps, and visible correlation reference. Do not include passwords, tokens, customer secrets, or unnecessary personal data. Signed-in users can use Report a bug from the account menu.
- I need access or password recovery.
- Contact your company administrator. Development cannot approve your company role or verify your identity on the administrator’s behalf.
